Introduction

NEST Taekwon-Do is committed to providing a safe, supportive, and respectful environment for all Students.

We recognise our responsibility to safeguard the welfare of all children and vulnerable individuals participating in our Services.

This policy outlines the measures we take to ensure safety, supervision, and appropriate conduct at all times.


Scope

This policy applies to:

  • All Students
  • Parents/Guardians
  • Instructors and Assistants
  • Any individuals attending or observing sessions
  • Any visitors or individuals observing sessions are expected to adhere to this policy and follow instructor guidance

Safeguarding Principles

We are committed to:

  • Providing a safe training environment
  • Promoting the welfare and wellbeing of all Students
  • Acting appropriately on any concerns or incidents
  • Ensuring all instructors are appropriately trained and qualified
  • Following guidance set by the British Taekwon-Do Council

Roles and Responsibilities

Instructors

  • Deliver safe and structured training
  • Maintain awareness of student welfare
  • Act on any safeguarding concerns
  • Follow appropriate reporting procedures

Parents/Guardians

  • Retain responsibility for their child at all times unless agreed otherwise
  • Ensure children are supervised appropriately
  • Provide accurate and up-to-date information

Supervision and Responsibility

Instructors are responsible for Students during structured class time only. Responsibility begins when the Student has been received into the session by an Instructor.

Instructors are not caregivers and do not provide supervision:

  • Before class begins
  • After class ends
  • Outside of the training environment

Responsibility for children remains with the Parent/Guardian unless prior arrangements have been agreed.

Instructors will take all reasonable steps to ensure the safety and supervision of Students during structured class time.


Attendance and Supervision Requirements

Students under 16

  • Must be accompanied to the venue and remain until the Student has been safely received into the session
  • Parents/Guardians must remain on-site during sessions unless prior agreement has been made with an Instructor

Leaving the Venue

  • Students must not leave the venue during sessions without the permission of an Instructor

Independent Attendance

Students aged 12 and over may attend independently only where written consent has been provided and approved by an Instructor. Approval is at the discretion of the Instructor and may be withdrawn at any time where concerns arise. Independent attendance may be subject to additional conditions set by the Instructor.


Drop-Off and Collection

  • Parents/Guardians must ensure Students are safely handed over at the start of class
  • Students under 13 must be collected by a Parent/Guardian unless prior arrangements are in place
  • If collection arrangements change, Instructors must be informed
  • Responsibility for the Student returns to the Parent/Guardian at the end of the session
  • Students should not be left unattended at the venue prior to the start of their session unless agreed in advance with an Instructor
  • Parents/Guardians are expected to collect Students promptly at the end of the session
  • Instructors reserve the right to refuse independent attendance where it is deemed inappropriate or unsafe

Behaviour and Safety Expectations

All Students are expected to:

  • Follow instructor guidance at all times
  • Remain within designated training areas
  • Behave respectfully and safely
  • Students must not leave the venue during sessions without the permission of an Instructor

Instructors reserve the right to remove a Student from a session where safety is a concern.

Persistent or serious breaches of behaviour expectations may result in suspension or removal from Services in line with our Terms and Conditions.


Medical and Emergency Information

Parents/Guardians must provide:

  • Accurate emergency contact details
  • Relevant medical information
  • Parents/Guardians must remain contactable during sessions in case of emergency

Instructors may use this information in the event of an emergency.


Safeguarding Concerns and Reporting

Any safeguarding concerns will be taken seriously.

Where necessary, concerns will be reported to:

  • The British Taekwon-Do Council
  • Appropriate safeguarding authorities
  • Emergency services

In serious cases, immediate action will be taken to ensure the safety of the individual.

All concerns will be handled in line with recognised safeguarding procedures and guidance.

We reserve the right to take any action necessary to ensure the safety and welfare of Students.


Photography and Conduct

Photography and video are managed in accordance with our Privacy Policy.

We will:

  • Seek consent
  • Avoid misuse of images
  • Act appropriately where concerns arise

Instructor Qualifications and Safeguarding Standards

All Instructors and Assistant Instructors at NEST Taekwon-Do:

  • Hold current safeguarding qualifications in line with requirements set by the British Taekwon-Do Council and UKTA
  • Hold valid Disclosure and Barring Service (DBS) checks
  • Complete recognised safeguarding training, including courses provided via Safeguarding Code in Martial Arts
  • Hold appropriate first aid training

We are committed to maintaining high standards of safety, welfare, and professional conduct at all times.


Changes to This Policy

We may update this Privacy and Data Protection Policy from time to time. The latest version will always be available on our website or upon request. Where significant changes are made, we will make reasonable efforts to notify you.
