Introduction

These Terms and Conditions govern the provision of services by NEST Taekwon-Do (“we”, “us”, “our”). By registering for and participating in our classes, you agree to be bound by these Terms and Conditions.

These Terms apply to all Students and, where applicable, their parent(s) or guardian(s). It is the responsibility of the parent or guardian to ensure that these Terms are understood and adhered to where a Student is under the age of 18.

These Terms and Conditions should be read alongside our Safeguarding and Welfare Policy and our Privacy and Data Protection Policy, which are available on our website or upon request.


Definitions

For the purposes of these Terms and Conditions, the following definitions apply:

Student – Any individual registered to participate in our classes or services.

Parent/Guardian – The responsible adult of a Student under the age of 18.

Instructor – Any qualified and authorised individual delivering training on behalf of NEST Taekwon-Do.

Services – All training sessions, classes, events, gradings, and related activities provided by NEST Taekwon-Do.

Membership – The ongoing agreement between the Student (or Parent/Guardian) and NEST Taekwon-Do for the provision of Services.

Dojang – Any venue or location where NEST Taekwon-Do classes or activities take place.


General Terms

All Services are subject to availability and may be amended or withdrawn where necessary.

We reserve the right to make reasonable changes to our Services, schedules, venues, or instructors where required. Where possible, we will provide notice of any significant changes.

You agree to cooperate with us in all matters relating to our Services, including providing accurate and up-to-date information where required.

Information provided via our website, social media, or other materials is for general guidance only and does not constitute a contractual offer.

We reserve the right to refuse or withdraw Services where necessary to maintain the safety, wellbeing, discipline, or integrity of the school.

All decisions made by Instructors in relation to the delivery of Services are final.


Membership and Registration

To participate in our Services, all Students must complete the required registration process, including submission of accurate personal details.

We offer a free training period of up to one calendar month for new Students. The start date of this period will be confirmed at the time of registration. Where a Student begins part-way through a month, the free training period may be adjusted at the discretion of the Instructor.

Following the free training period, Students will automatically be enrolled into Membership and applicable fees will become payable unless cancellation has been requested in accordance with these Terms.

The free training period is non-transferable and cannot be extended or deferred.

If you do not wish to continue following the free training period, we request that you notify us in writing before the end of that period.

Each Student must have a completed registration. Where a Student is under 18, this must be completed by their Parent/Guardian.

Where multiple family members are registering, a separate registration must be completed for each Student.


Fees and Payments

Fees for our Services may change from time to time. Where possible, reasonable notice will be provided in advance of any changes.

All Membership fees are collected via our automated payment system. By registering for Membership, you agree to set up and maintain this payment method.

We reserve the right to refuse or suspend Services where payment has not been received or where payment arrangements have not been set up as required.

Additional fees may apply for gradings, seminars, competitions, equipment, or other related activities. These will be communicated in advance and agreed where applicable.

Failure to make payment may result in suspension of Services until the account is brought up to date.

If a payment fails or is returned (for example due to insufficient funds or cancellation of a Direct Debit), any charges incurred by us from our payment provider may be passed on to you. We reserve the right to apply a reasonable administrative fee to cover additional handling costs.


UKTA Licence Requirement

All Students must hold a valid and active licence with the United Kingdom Taekwon-Do Association (UKTA) in order to participate in training and related activities.

UKTA licences are managed via their official membership platform, JustGo (https://uktaekwondo.justgo.com). This system is operated by the UKTA and is not controlled by NEST Taekwon-Do.

While we may have limited administrative access to confirm licence status, responsibility for registration, renewal, and account management remains with the Student or Parent/Guardian.

Please note that references to “NEST Taekwon-Do Membership” within the JustGo system relate to UKTA registration and do not represent membership with our school.

A valid UKTA licence includes insurance cover provided through the British Taekwon-Do Council (BTC), which is a requirement for participation in training.

Failure to obtain or maintain a valid UKTA licence may result in suspension from training until the licence is active and up to date.


Cancellation and Termination

You may cancel your Membership at any time by providing a minimum of 30 days’ notice in writing.

Any fees due during the notice period remain payable, and access to Services will continue during this time unless otherwise agreed.

Upon completion of the notice period, Membership will be cancelled and payments will cease.

We reserve the right to terminate Membership or refuse Services with immediate effect in cases of misconduct, safeguarding concerns, non-payment, or breach of these Terms.

Membership pauses or temporary suspensions may be granted at the discretion of an Instructor in exceptional circumstances. Requests must be made in advance and are not guaranteed.

At least 7 days’ notice is required to allow for any changes to Direct Debit payments. Requests made within this period may not take effect until the following billing cycle.

Where a pause is approved, it will apply for an agreed period and may be subject to specific conditions. Membership fees remain payable unless a pause has been formally agreed in advance.


Attendance and Participation

Students are expected to attend sessions regularly and participate to the best of their ability.

All Students must follow instructions given by Instructors and behave in a respectful and disciplined manner at all times.

We reserve the right to restrict or refuse participation where behaviour, safety, or wellbeing is a concern.

Students must be physically fit to participate in training. Any injuries, medical conditions, or concerns that may affect participation must be disclosed to an Instructor.

We reserve the right to remove a Student from a session where their behaviour poses a risk to themselves or others.


Health and Safety

We take all reasonable steps to provide a safe training environment for all Students. This includes carrying out appropriate risk assessments for our venues, activities, and equipment.

However, participation in martial arts carries an inherent risk of injury. By participating in our Services, you acknowledge and accept these risks.

Students must follow all safety instructions provided by Instructors and use equipment appropriately at all times.

Any injury sustained during training must be reported to an Instructor as soon as possible.

Students, or their Parent/Guardian, must ensure that any relevant medical information and contact details provided are accurate and kept up to date.


Equipment and Uniform

Students are responsible for attending training with appropriate clothing and equipment as advised by their Instructor.

All Students are required to wear a clean and presentable Taekwon-Do uniform (Dobok) and their current grade belt during training. Belts are issued upon commencement and through gradings.

For sparring and contact training, Students must have appropriate protective equipment (PPE), which may include:

  • Hand pads
  • Foot pads
  • Head guard
  • Gum shield
  • Shin guards
  • Groin guard (mandatory for male Students)
  • Chest guard (required for female Students where applicable)

Students may not be permitted to participate in certain activities, including sparring, if appropriate equipment is not worn.

To maintain consistency and quality, official uniforms and equipment should be obtained through NEST Taekwon-Do or approved suppliers.

Students are expected to maintain a high standard of personal hygiene and ensure that all equipment, including uniforms, is kept clean and in good condition.

Optional training items may include:

  • Water bottle (non-fizzy drinks only)
  • Towel (recommended and required for competitions)
  • Skipping rope

Complaints and Disputes

We encourage all complaints or concerns to be raised directly with NEST Taekwon-Do in the first instance, using our official contact details.

Complaints should be submitted in writing (email or written correspondence) and directed to the Chief Instructor. This ensures that concerns can be reviewed and handled appropriately.

Complaints should not be submitted via social media platforms or informal messaging channels. We reserve the right not to engage with complaints raised through unofficial or inappropriate channels.

All complaints will be handled fairly, confidentially, and in a timely manner. We will aim to resolve concerns promptly and communicate outcomes where appropriate.

We ask that all reasonable steps are taken to resolve concerns directly with NEST Taekwon-Do before escalation to external organisations.


Grading and Progression

Progression through grades is based on ability, knowledge, attendance, attitude, and Instructor assessment.

Students must demonstrate the required standard for their current grade, as well as knowledge of previous grades where applicable. Grading is not based on time served alone, and attendance does not guarantee eligibility to grade.

Students will only be invited to grade when their Instructor believes they are ready and capable of meeting the required standard.

Students are expected to attend classes regularly in the lead-up to grading. In particular, students must attend their normal training sessions during the two weeks prior to grading wherever reasonably possible. This allows Instructors to assess readiness, confirm eligibility, and ensure students are properly prepared.

Attendance at grading is by invitation only. Students and Parents/Guardians should not expect or request grading if the Student has not been invited.

NEST Taekwon-Do aims to hold regular gradings throughout the year. These may take place during normal class times, as separate sessions, or at alternative venues where appropriate.

Students may be required to travel to attend gradings, seminars, or related events, as gradings are centralised and may not take place at every training venue.

Students progressing to higher grades are expected to demonstrate continued commitment to their development outside of normal classes. Students of 4th Kup and above are expected to attend seminars delivered by Masters or Grand Masters where possible.

Students of 4th Kup and above must attend at least one recognised seminar per calendar year in order to remain eligible for grading, unless otherwise agreed by the Instructor Team.

Gradings are formal assessments conducted in line with the syllabus and standards followed by NEST Taekwon-Do. Students are expected to attend appropriately prepared, follow all instructions, and conduct themselves respectfully throughout the grading process.


Safeguarding Reference

Safeguarding, supervision, and welfare arrangements are detailed within our Safeguarding and Welfare Policy.

All Students and Parents/Guardians are expected to read and adhere to this policy.


Changes to This Policy

We may update this Privacy and Data Protection Policy from time to time. The latest version will always be available on our website or upon request. Where significant changes are made, we will make reasonable efforts to notify you.
